Before anything else
The three things you are actually worried about
Nobody doubts this costs less. That is not the question, so proving it again would waste your time. These are the questions, and we would rather answer them here than in a sales call.
Worry one
Will the work be any good?
Our delivery partners have been placing trained professionals with US businesses since 2011, and our recruitment side has built operations from five hundred to over six thousand seats.
- Screened, tested and referenced before you meet them
- You interview the shortlist and choose
- Trained on your systems before day one
Worry two
Who manages them?
You direct the work. We handle everything that makes someone an employee, which is the part most small businesses have no capacity to take on for an overseas hire.
- Payroll, benefits and local compliance
- Attendance, equipment and connectivity
- Cover during leave, so the seat is never empty
Worry three
What if it does not work?
Nobody makes a first overseas hire believing it will definitely work. They make it believing they can undo it. Depth of bench is what makes a replacement fast rather than the start of another search.
- Replacement pipeline already recruited
- Team attrition around 8 percent, against industry norms of 40 to 60
- Replacement terms and notice period to be confirmed
The roles
Think of it as a person, not a department
Every one of these is a full-time job that someone currently does badly at eleven at night, or does not get done at all. Start with the one that is hurting most.
Medical practice assistant
Handles patient scheduling, insurance verification, prior authorizations, chart preparation and follow-up calls. Our delivery partners specialize here, with a decade of work across home health, hospice, primary care and specialty practices.
A typical week
Verifies benefits before appointments, chases authorizations that would otherwise stall, reconciles the schedule, and keeps documentation current so nobody is writing notes at midnight.
Bookkeeper and accounts assistant
Runs accounts payable and receivable, reconciles monthly, chases invoices, prepares reports and keeps the books current in QuickBooks, Xero or whatever you already use.
A typical week
Enters and codes transactions daily, follows up outstanding invoices, reconciles accounts, and has the monthly close ready without anyone asking twice.
Customer service and inbound
Answers calls, email and chat during your hours, books appointments, resolves routine questions and escalates what actually needs you. Nobody waits on hold because everyone is busy.
A typical week
Covers the phones through the full working day, responds to enquiries within minutes rather than hours, and keeps the calendar filled.
Marketing and operations support
Runs the campaigns, follow-up sequences, review requests and reporting that get bought and then never used. Pairs naturally with our agentic AI system, where the software does the work and this is the person watching it.
A typical week
Keeps sequences running, follows up every enquiry, requests reviews after service, and produces a monthly report you can read in two minutes.
Indicative rates are being confirmed and will be published here rather than held back for a call.
How it works
Four steps, and you are only involved in two
1
Scope the role
What the job actually is, which tools, which hours, and what good looks like after ninety days.
2
We recruit and screen
Sourced, tested and referenced. You interview a shortlist and choose.
3
Onboard and train
Trained on your systems and processes before they start doing live work.
4
Ongoing management
You direct the work. We handle employment, attendance, equipment and cover.
What we handle
- Recruitment, screening and reference checks
- Employment, payroll, benefits and local compliance
- Equipment, connectivity and secure workspace
- Attendance, leave cover and replacement
What stays with you
- Deciding what the work is and how you want it done
- Choosing who you hire from the shortlist
- Day-to-day direction, same as any team member
- Telling us when something is not working
Who actually delivers
Operators with decades behind them, not a marketplace
We hold ownership positions on the supply side rather than brokering someone else’s capacity. The person working for you is our employee, so their performance is our problem. These relationships predate HarmoniXHR.

Where this does not work
We would rather lose a bad fit early than manage a disappointed client later
If any of the following describes your situation, tell us and we will say so.
What we would ask you
Scope the role before anyone talks about price
A rate quoted before the job is defined is a guess. These are the questions that turn a vague need into a role someone can actually be recruited for, and the answers travel with your enquiry so nobody asks you twice.
Six questions, about two minutes
If your answers show this is the wrong solution, we will tell you rather than sell you a seat.
- 01Which job is not getting done, and who is doing it badly at eleven at night today? The honest version of this question finds the role faster than a job title would.
- 02How many hours a week is it, realistically?Under about ten and the onboarding cost outweighs the saving.
- 03Which hours do they need to overlap with you, and in which time zone?Determines shift pattern and therefore who can be recruited.
- 04Which systems would they work in?Training happens before day one, so we need the list up front.
- 05Is the process written down anywhere, or does it live in someone’s head? Not a disqualifier, but it changes where we start.
- 06What would make you say this worked, ninety days in?If nobody can answer this, the role is not scoped yet.
Start with the job that is hurting most
Tell us what is not getting done and we will tell you whether this is the right answer for it. If it is not, we will say that too.
